Multi-Location Wellness Group: One Ledger of Truth

Situation

A multi-location wellness business with strong demand and a loyal clientele. Revenue came through services, memberships, and gift cards; operations ran on a booking platform, a separate point of sale, an email tool, an accounting system, and a website that displayed hours and photos.

Constraint

Six systems disagreed about who the customers were. Gift cards were sold in one place, redeemed in another, and reconciled by hand at month end. Follow-up depended on whoever remembered. Leadership saw revenue four weeks late, and gift card programs — a proven growth lever in this industry — couldn’t be promoted confidently because nobody trusted the liability number.

Existing system

Each platform worked in isolation. The connective tissue was staff: exports on Mondays, a reconciliation spreadsheet with one owner, and customer records that diverged a little more every week.

Architecture

The CRM was designated the system of record for customer identity. The web platform was rebuilt as the front door: online purchases, gift cards, and bookings flowing straight into the systems behind it. Payments, scheduling, and email were connected through one integration layer with defined ownership for every record type — and month-end reconciliation was replaced by continuous synchronization.

Implementation

Phased over months, with the business running throughout: identity consolidation first, then the web platform, then payments and gift card flow, then automated lifecycle communication — post-visit follow-up, membership renewals, win-back sequences that had previously lived in people’s heads.

Business outcome

One customer ledger. Gift cards became a promotable product with a trusted liability number. Follow-up stopped depending on memory. Leadership sees revenue as it happens, not four weeks later.

Quantitative result

Directional figures from this engagement pattern — gift card revenue roughly tripling over eighteen months alongside strong double-digit total revenue growth — are pending validation and are not published as claims. Validated metrics will replace this note.

Future capability

With identity and revenue data centralized, the business can now answer questions it previously couldn’t ask: lifetime value by acquisition channel, membership conversion by location, and campaign attribution against actual collected revenue.
