Home Services Company: Lead-to-Dispatch in Seconds

Marketing was buying leads the operation was quietly losing. One intake pipeline fixed the leak.

Example — pending validation A representative engagement in a generalized industry. Figures are directional and unpublished as claims until validated and client-approved.

Situation

A home services company — the HVAC-and-trades pattern — with strong marketing spend, a field team on industry dispatch software, and growth stalling for reasons nobody could name from inside a single department.

Constraint

Speed to lead. Inquiries arrived through the website, phone, and lead vendors into different inboxes; office staff triaged them by hand between calls. Response times ranged from minutes to days depending on staffing, and in this industry the first responder wins the job. Marketing was buying leads the operation was quietly losing.

Existing system

Website forms emailed a shared inbox. Lead vendor notifications went to a manager’s phone. The dispatch platform knew nothing about any lead until someone typed it in. Attribution was a guess assembled quarterly.

Architecture

One intake pipeline: every lead source — web, phone tracking, vendors — normalized into the CRM within seconds, scored against service area and job type, and routed to the right person with an escalation path when the first responder doesn’t act. The dispatch platform connected bidirectionally, so a booked job flows back as revenue attached to its original source.

Implementation

Intake and routing first — the leak was priced in lost jobs per week, so it went first. Then dispatch integration, then attribution reporting, then automated follow-up for quotes that hadn’t closed.

Systems connected

Web platform · call tracking · lead vendors · CRM · dispatch software · payments · reporting.

Business outcome

Every lead answered on system time instead of staffing luck. Quotes chase themselves. Marketing spend is steered by cost-per-booked-job, per channel, from the system — not by vendor reporting.

Quantitative result

Response-time and close-rate improvements from this engagement pattern are pending validation and are not published as claims. Validated metrics will replace this note.

Future capability

The intake pipeline is a platform: new lead sources plug into existing scoring and routing in days, and capacity-based scheduling becomes an automation project instead of a rebuild.

Next step

Start with the architecture.

A systems assessment maps how your business actually operates, where it leaks, and what should exist — before you commit to building anything.
